System Menu This menu allows access to all modules available in the Orion system. Orion offers many custom modules as well as a completely integrated accounting package.

Counter Agent Control The Counter Agent Control menu contains all programs and reports necessary to complete daily tasks.
Contract Open Contract open allows the user to enter detailed information on the renter and as many additional drivers as needed.
Contract Open -- Additional Charges Adding additional charges to a contract is quick and easy with the Charges display window.
Contract Open -- Estimated Charges As the additional charges are selected, the estimated charges field will update automatically. You may add as many charges as needed. Estimated charges will include all applicable location taxes and surcharges.
Vehicle Exchange This program is used to enter a vehicle substitution on a rental contract.
Messages The contract messages program provides a method of communicating special information pertaining to a contract, customer, or the vehicle assigned to a contract. Contract messages can be viewed in contract close, modify, vehicle exchange, and the contract extension program.
Contract Inquiry This program is used to view open and closed rental agreements.

Contract Extension This program is used to extend open contracts in order to add additional authorization to the credit card and to update the due-back date for the vehicle.
Repeat Customer Enter/Edit Repeat customer information is created for every customer for whom a contract is written. If the repeat customer number is used to open a contract, the repeat customer file is updated with current information when the contract is saved.

Repeat Customer -- Rental History For each rental generated the system will create a rental history record in the repeat customer file. This record can be used for customer inquiry and detailed reporting.
Reservation Enter/Edit The reservation entry screen is used to enter local reservation information or modify information in existing reservations. Both locally added reservations and reservations transferred from a corporate reservation center can be accessed from this screen. Locally added reservations are assigned a sequentially numbered confirmation number by the system.
Arrival Display This program displays reservations for a user-defined period in date and time order. As reservations are converted to rentals, the record is deleted from this file. To further inquire or modify an existing reservation the user can select it from this display.
Summary Chart In addition to the Arrival Display the user may also access this program to view reservations for a specified date in one of two screen formats. The screen initially displays reservations summarized by time, then by car class, city, location, and company. The second option displays reservations summarized by time, then by city, location, company code, and car class.
Vehicle Status Change This program lets the user view and/or change the status of specific vehicles. In addition, the current contract number, renter name, damage, and vehicle exchanges are also displayed on the Vehicle Status screen. This program is password protected.
Availability Chart -- text display This screen alphabetically displays vehicles available for rent by class, then in order by status and vehicle number. It also can provide quick listings and totals of all on-rent (10), overdue (11), or maintenance statuses (03-05).

Due-Back Display (Detail) View a summary of vehicles due to be returned on the date specified. The due-back summary can be displayed in detail (single day) or summary (multiple days). The detail report displays vehicle classes at the top of the screen. Times appear in the left column in two-hour increments from midnight to midnight. Totals appear in the right column by time and along the bottom by vehicle class.

On-Line Balancing On-line balancing is a quick, easy way for agents to reconcile their cash drawers and credit cards after each shift. Agents can also see a recap of coverages sold that day in terms of dollars and percentages. The total deposit is customized for each customer… total deposit usually equals cash, traveler’s checks, checks. Also, shift managers are able to see the number of open and closed contracts for the specified period.

Daily Business The Daily Business module is designed to monitor and report rental activity on a daily basis. The master records used for renting (opening) and closing rental agreements are contained in this module, as well as the printing and posting functions needed to integrate daily business with the accounting modules.
File Maintenance The File Maintenance menu is designed to add, delete, change and print a list of records within the Daily Business module.
Rate Types The rate type file establishes and maintains records identifying the various types of rates used in the car-rental system. The Rate Type acts as the header for the creation of the actual rates for each car class. The Orion System supports “split rates,” making it possible to apply two rate types to a contract or reservation.
Rates This file is used in conjunction with the rate type, vehicle class, city, and location files to establish and maintain required records identifying the specific rental rates for each vehicle class at each city and location. The accompanying report displays all rate codes in the system and can be viewed on screen or printed.

Revenue Charge Types This program is used to establish and maintain revenue charge types used during the creation of the actual charges that can be applied in reservation, contract open, contract modify, contract close and the cash paid in/out programs. Charge types are grouped into categories, as shown in the screen below.
Revenue Charges This program is used to establish and maintain revenue charges used during reservation, contract open, contract modify, contract close and the cash paid in/out programs. The file contains the charge code, charge description, sales script and all of the rules needed for the charge to calculate properly.
Revenue Charge Lines This program is used to establish and maintain the actual charge line. This program screen contains the description that will print on the contract or invoice, the effective and ending dates of the charge, the per unit cost or tax rate and the logic for how the charge will calculate.
Do Not Rent This program is used to reference bad-risk drivers. The driver’s license number and issuing state for both the driver and additional driver are checked against this file in contract open. If a match is found, the reason entered on the customer do-not-rent list will be revealed to the agent and the rental will not proceed.
Daily Operations The daily business system is designed to handle daily operations for off-line contracts, contract inquiry, and repeat customers. Off-line contracts are those contracts processed in a batch mode after the fact.
Agent Snapshot This program displays projected sales statistics by location, team, or individual agent. The display can be modified to show counts, revenues or daily dollar averages.
Management Reports The management reports section is designed to generate audited and unaudited management reports based on preposted and posted DBRs. The reports can be run in a number of formats for daily, weekly, and monthly totals.
DBR Daily Totals File Maintenance (audited/unaudited) The file management screen allows viewing of individual records which are used for the management reports.
Snapshot Snapshot is designed to give the user an instantaneous overview of the fleet utilization. Information is available in different formats and can be viewed on screen or printed.
Snapshot Display -- Location This program provides a status list of vehicles at a single location by vehicle class.
Snapshot Display -- Location Summary This screen provides a status display line for each defined location.
Daily This section provides the DBR clerk with the options needed to complete the processing of the daily business posting to Accounts Receivable. Daily work is processed in batches, which are defined when each day’s business is printed on a DBR.
F/M DB Customers This program is used to established and maintain individual customer records, including miscellaneous customers. Each customer is identified by a unique number which is used on data-entry transactions and to recall the record.

F/M Sales Journal This program is used to enter information from customer invoices, debit memos, and credit memos; enter manual service charges; and recall transactions for correction before posting. Line items (individual charges itemized on each invoice) can be distributed to any number of general ledger and subsidiary accounts.

Contract Adjustments This program is used to make adjustments on closed contracts.
Weekly This menu contains options for tracking parking tickets and controlling printed forms.
Enter/Edit Tickets Use this program to enter parking ticket information. The system search is based on the vehicle license number and date. You can locate the applicable contract even if the vehicle has changed license plates.
Monthly The monthly work schedule contains two sections for reporting: Reports -— items which should be printed at least once per month; and Employee performance reporting—a series of programs and reports pertaining to employee incentive programs.

Vehicle Inventory Control The Vehicle Inventory Control Main Menu provides access to all information about your vehicles.
File Maintenance All files needed to record and track vehicles are available in this section.
Daily Operations The Daily Operations menu contains options for use on a daily basis. These options use information entered in the file maintenance section, allowing you to view vehicle information, add/list foreign vehicles, view vehicle transactions, and reconcile fleet records.
Foreign Vehicle File Maintenance This program lets you add and change foreign vehicle information. A foreign vehicle is one that your agency does not own. Since foreign vehicles are not kept in your vehicle inventory, this program tracks them while they are in your possession.
Change Vehicle Status This program lets the user view and/or change the status of specific vehicles. In addition, the current contract number, renter name, damage, and vehicle exchanges are also displayed on the Vehicle Status screen.
Transaction File Inquiries by Vehicle/Date This screen displays current transactions for a specific vehicle in chronological order (most current date to the oldest date). This screen can be used to search for parking tickets or inquire into the current movements of the vehicle.

Management Reports The Management Reports menu offers 25 preformatted reports necessary for managing business and making decisions.
Depreciation The Depreciation section provides access to fleet depreciation information, as well as the current loan payoff for each vehicle. The loan payoff system uses information from the vehicle master file (bank code, loan number, first payment date, loan amount, and payment amount) to track the current loan amount.
Depreciation Master (File Maintenance) This screen provides access to the controlling file for vehicle depreciation. The records in this file are created automatically by the system when the depreciation schedule is run. The record is created using information from the vehicle master file and the depreciation special data file. This file is also used to correct depreciation figures after the record is created.
Maintenance and Repair The Maintenance and Repair section provides access to programs designed to assist in managing the maintenance and repair of the fleet. Maintenance schedules for several vehicles can be established at one time. This program is a time-saver when standard maintenance schedules are needed for the vehicles in the fleet.
Maint/Repair Records The maintenance/repair records program allows the user to create maintenance or repair work transactions for individual vehicles and view the next scheduled maintenance for a vehicle.
Auto-Status Change File When a contract is closed, the status of the vehicle is updated as 07 (available dirty). This program lets you automatically change the status of a vehicle when the contract is closed to a status other than 07 (available dirty). If a vehicle is due for maintenance (or auction or turnback), this program can be used to take the vehicle out of service when it returns from rental.

Reservation System The Reservation System Main Menu gives the agent access to all screens necessary to make and/or check reservations.
Daily Processing The Daily Processing menu enables agents to: Make local reservations, display previously entered reservations using name or date/time search and view reservations for a specific customer.

Arrival Display Use this program to search for and display reservations. As reservations become rentals, the records are deleted from the display. At day’s end any remaining reservations can be researched to verify their no-show status.
Management Reports The Management Reports menu options provide management with preformatted reports for tracking reservations and commissions. Some reports can be customized, added, or deleted; therefore, this menu may not reflect the options available on your system.
